Privacy Policy

1. Who this policy covers

This policy applies to StudyLedger (“StudyLedger”, “we”, “us”), an academic tracking tool for university students, available at studyledger.app and via our mobile app. StudyLedger does not currently operate as a registered company — it is an independently run product. If that changes, this policy will be updated to name the operating entity.

We're an Australian product built primarily for Australian university students, and we handle personal information in line with the Australian Privacy Principles under the Privacy Act 1988 (Cth).

2. Information we collect

Account information, collected when you sign up:

  • Name and email address
  • Password (handled entirely by our authentication provider, Supabase Auth — we never see or store your plaintext password)
  • Optionally, university, major/degree, graduation year, and a profile photo

Academic data you enter, which is the core purpose of the product:

  • Units/courses, credit points, grades, and marks
  • Assessments — titles, due dates, weights, scores
  • Academic terms and semester/trimester information
  • Graduate job application details you choose to track (company, role, application stage, deadlines, notes)
  • Calendar events you create

If you use Pro import features:

  • Transcript import: the PDF transcript you upload is sent to our AI provider (Anthropic, maker of Claude) for one-off processing to extract your unit names, grades, and credit points. The file is not stored by us after processing, and is used by Anthropic only to service that single request in line with their API data usage terms — it is not used to train their models.
  • Unit guide / job listing import: when you paste a URL, our server fetches the public page content and sends the extracted text to the same AI provider to pull out structured details (assessment names, weights, due dates, or job application details). We validate URLs to block requests to private or internal network addresses before fetching.

Payment information, if you upgrade to Pro: handled entirely by Stripe. We never see or store your card details — we only receive confirmation that a payment succeeded and a subscription reference ID.

Usage data: we use Google Analytics and Vercel Analytics to understand aggregate usage of the site (pages visited, general traffic patterns). This is not tied to your academic data.

3. How we use your information

  • To provide the core product — calculating your WAM, tracking assessments and deadlines, managing your application pipeline
  • To send you transactional emails you've opted into: a welcome email, due-date reminders, and a weekly digest. You can turn assessment reminder emails off at any time in Settings.
  • To process Pro subscription payments and manage your billing via Stripe
  • To operate our referral program, which links a referring account to a new signup so both accounts can receive the associated trial credit
  • To maintain and improve the reliability and security of the service

We do not sell your personal information, and we do not use your academic data to train any AI model.

4. Who we share information with

We share data only with the service providers needed to run StudyLedger, each bound by their own data protection terms:

  • Supabase — database hosting, authentication, and file storage for your account and academic data
  • Stripe — payment processing for Pro subscriptions
  • Resend — delivery of transactional emails (we share your email address and first name for this purpose)
  • Anthropic — processes transcript and URL content you explicitly submit via Pro import features, as described above
  • Vercel — application hosting
  • Google Analytics / Vercel Analytics — aggregate, non-identifying usage analytics

If you choose to enable the public WAM share card in Settings, the WAM figure, grade distribution, and unit list on that card become visible to anyone with the link. This is off by default and fully within your control.

We do not share your data with advertisers, and we do not sell it to data brokers.

5. Data security

Your data is stored in a Postgres database with row-level security enabled — every table enforces that a user can only ever read or modify their own rows, enforced at the database layer, not just in application code. Passwords are never stored by us directly; authentication is handled by Supabase Auth. Payment card details never touch our servers.

6. Data retention and deletion

We keep your data for as long as your account is active. If you delete a unit, assessment, or application within the app, it's immediately hidden from your view; underlying records are retained briefly before permanent removal to support account recovery in case of accidental deletion.

You can permanently delete your account at any time from the Danger Zone in Settings — this immediately and irreversibly removes your profile and all associated academic data, and cancels any active Pro subscription. You can also email hello@studyledger.app if you'd rather we action the deletion for you.

7. Your rights

Under the Australian Privacy Principles, you can:

  • Ask us what personal information we hold about you
  • Ask us to correct inaccurate information
  • Request deletion of your account and data
  • Opt out of reminder/digest emails at any time via Settings

8. Cookies

We use a small number of cookies: one to keep you signed in (managed by Supabase Auth), one to remember your light/dark theme preference, and analytics cookies from Google Analytics. We don't use advertising or cross-site tracking cookies.

9. Children's privacy

StudyLedger is intended for users aged 16 and over. We don't knowingly collect personal information from anyone under 16. If you believe a younger user has created an account, contact us and we'll remove it.

10. Changes to this policy

We may update this policy as the product changes. We'll update the “last updated” date above when we do. Material changes affecting how your data is handled will be communicated by email where practical.
